This policy explains what information macERP collects, why, and how we look after it. macERP is a property and business management app for landlords and small companies, provided by BallyhooTech Limited ("we", "us"). We are the data controller for the information described here.
Information we collect
We collect only what is needed to run the service:
- Account details: your name, email address and phone number, used to create and secure your account. Passwords are stored only in a hashed form.
- Your records: the business and property information you enter, such as companies, properties, tenants, contacts, income, expenses, invoices, mortgages, certificates and tax details.
- Files you upload: receipts, photos, screenshots, bank statements, certificates, year-end accounts and other documents you choose to store.
- Device token: if you turn on notifications, a push token so we can send them to your device.
We do not collect your location, contacts or browsing history. We do not use advertising or analytics trackers, and we do not track you across other apps or websites.
How we use it
Your information is used only to provide macERP: storing and organising your records, reading the lines on bank statements you upload, sending invoices and reminders you ask for, notifications about certificates and payments, and keeping your account secure. Text in receipt photos is read on your own device. Bank statements you upload are read on our own server. We do not use your data for advertising and we do not sell it.
Our legal basis is the contract with you to provide the service, and our legitimate interest in keeping it secure.
Who can see it
Your records are visible only to you and to the people you invite, such as sub-users, accountants or engineers, and only for the companies or properties you share with them. You can remove their access at any time.
Service providers
We use a small number of trusted providers for specific jobs. They process only what that job needs and may not use your data for their own purposes:
- Email delivery (Resend): verification codes, password resets, invitations and invoices you send.
- Apple Push Notification service and Google Firebase Cloud Messaging: delivering notifications to your iPhone or Android device, if you turn them on.
- Stripe: subscription payments made on our website. We never see or store your card details.
Some of these providers may process data outside the UK. When they do, they use safeguards approved under UK data protection law.
Security and storage
Your data is kept on private servers that we control. Access is restricted, and every connection to the app and website is encrypted. We keep your data while your account is open.
Deleting your account
You can delete your account in the app (iPhone: Account › My Profile › Delete Account; Android: account menu › Delete Account; see how), or by emailing info@ballyhootech.com from your registered address. Deletion removes your account, your records and every file you uploaded from our servers, and it cannot be undone. Copies in our backups are overwritten as the backups are replaced. Before you delete, you can download your data. UK law may require you to keep business records for your own tax purposes.
Your rights
Under UK data protection law you can ask to see, correct, download or delete your data, and you can object to how we use it. You can do most of this in the app. For anything else, email us and we will reply within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Children
macERP is for business use by adults and is not directed at children under 18.
Changes
We may update this policy. Material changes will appear here with a new date at the top.
